Drayage refers specifically to the transport of goods over a short distance. In the context of trade shows and exhibitions it typically involves moving freight from a shipping dock or warehouse to an exhibition site or display area. Drayage services are often provided by specialized logistics companies also known as “show management” that understand the unique requirements of trade shows. The drayage or material handling process usually includes picking up exhibits from a freight terminal like a convention center loading dock, an airport or a shipping port and delivering them directly to the activation site at street level. Drayage is most often charged separately as part of overall logistics costs for exhibitors. It's important because timely delivery ensures that exhibitors can set up their displays on schedule and labor is not waiting for freight to arrive.
Coordinating with show management or event contacts for show services can become cumbersome and require experience and detailed communication. Topics and offerings include but are not limited to: transportation and shipping of logistics of materials (like booth components), warehouse packing and inventory management, scheduling sufficient install and dismantle labor, following state-specific union laws, and managing and ordering necessary equipment before or after an event, ordering event-specific electrical needs and precise location(s) of electrical drops in a space. Paying deposits and placing a credit card on hold is also part of the process.
